    Before Muck Rack: ‘Trying countless PR CRM solutions’

    Before we adopted Muck Rack in early 2020, our team tried countless customer relationship management (CRM) solutions, as well as numerous offline Excel spreadsheets and database services.

    We were looking to enhance our collaboration and add transparency to our processes — without copying and pasting together coverage reports and manually updating media lists. Most PR firms want to shield and protect their media lists, but a firm should deliver strategic ideas, not lists. With that said, media lists still have to be maintained, and before Muck Rack that was a time-consuming process. 

    For instance, at one point, if we received negative feedback from a journalist who wanted to be removed from our media list, I would forward that email to our staff, and everyone would go into their individual spreadsheets to delete that contact. But then what happens two years down the road? We can’t recall what happened and have no real paper trail.

    And, sure, Google Sheets is built to be more collaborative — that’s great — but team members still have to manually log their activities with reporters, which isn’t realistic or efficient.

    Tracking activities

    Muck Rack’s activity tracking is a game-changer. It houses on a ton of valuable information, like individual outreach efforts and correspondence with journalists.

    Here’s an example: Jessica just added Tim from Forbes to her media list. Great. Everyone on the team will know, and there’s no fear of overlap because this information lives in Muck Rack — not a static spreadsheet. This allows us to better collaborate and overall be more efficient.

    What’s especially helpful is that you can sort activity by specific team members or categories of events (e.g. email log, meeting notes, dates, etc.).

    That's the beauty of Muck Rack — there’s so much value both in the tracking, the reporting, the collaboration, the pitching that goes through the platform, the activity logging. We're constantly in Muck Rack, and all of that is happening naturally. The multiple systems we were working with before, we've completely ditched in favor of Muck Rack, and it has made us much more effective in terms of saving productivity and staff time, plus being able to service our clients much better.

    Do not contact

    It’s not like we get a ton of annoyed “never talk to me again” responses from journalists, as we’re firm believers in research and razor-sharp targeting, but another Muck Rack feature I really like is the contact preferences and Do Not Contact list. For each journalist, we’re able to add contact preference notes and then if we get negative feedback from anyone, we can easily add them to our Do Not Contact list which prevents engagement through the platform.

    This is a lot easier than trying to keep an email list or Excel sheet updated, and it helps us retain this knowledge. We don’t have to wonder why Lisa isn’t on our email list two years after we took her off. This information stays in Muck Rack and is easy to access and share.

    Again, this is just another testament to the level of organizational transparency Muck Rack is bringing to our team.
